What Are Event Badges

Event badges are printed credentials worn at conferences, trade shows, and festivals to identify attendees, exhibitors, speakers, and staff. What PVC Event Badges Are Made Of

PVC event badges are printed on one of two stocks: 18pt PVC Vinyl, a plastic sheet that shrugs off rain, spilled coffee and a full day of handling, or 30pt Gloss Laminated card, a thicker printed card sealed under gloss film. Both take full color on both faces, a drilled hole or a lanyard slot, and optional rounded corners.

Match the stock to the length of the event. A one day conference is over before either stock is tested, so the 30pt card is the better call: it is stiffer in a holder and it photographs well on a lanyard. A multi day expo puts the same badge through three mornings of rain, lunch queues and being stuffed in a bag overnight, which is where 18pt PVC pulls ahead.

Both stocks carry QR codes and per attendee variable data the same way. The code prints as part of the artwork, so give it a quiet area with no background pattern behind it and keep it at least an inch across so a phone reads it at arm's length. Variable data pulls the name, company and role from your attendee list and puts a different one on every badge in the same run, which means the badges arrive presorted rather than needing a marker pen at the registration desk.

What Size Should an Event Badge Be

Size the badge to what it has to carry. A 2" x 3" badge is enough for a name, a company, and a role, the classic conference credential. Step up to 3" x 4" or 3" x 5" when you want a photo, an access level, or a bigger QR code. A 4" x 5" or 4" x 6" reads almost like a mini program, with room for a session grid or a venue map on the back. Every Event Badge Size

Custom sizing covers anything between 2 and 4 inches wide by 3 and 6 inches high. Before choosing one, check the holders or lanyards you already own, because a badge cut a quarter inch outside a holder is a badge nobody can wear.

How Much Do Event Badges Cost

Event badges start at $49.88 per 25, about $2 a badge, and the per-badge price keeps dropping as the quantity climbs toward 5,000, where it lands near $0.40 each. A run of 100 is $101.04, 500 is $305.53, and 1,000 is $516.62. Most people order right around 100, which is also our best-rated quantity. Lanyards, clips and badge holders

Six lanyard styles are available as add-ons, in black, red or blue, including 38 in hook lanyards and 38 in breakaway hooks in the same three colors. The breakaway version releases under a pull, which is the one to specify for events with children, kitchens or machinery on site. Color is also the cheapest way to sort a crowd: one color for attendees, one for staff, one for exhibitors, readable across a hall before anyone reads a word.

On the badge itself you choose a 5/16 in drilled hole or a lanyard slot. The drilled hole takes a hook or a cord and suits a badge worn all day. The slot takes a flat lanyard clip and keeps the badge hanging square instead of twisting face inward, which is worth having when the badge carries a QR code someone has to scan.

If you need something more rigid than a printed badge, plastic event badges are the harder wearing option, and event tickets handle admission for the same event.

Rush event badge printing for a tight event date

Standard production is 5 business days, with 4, 3, 2 and 1 day rush and Same Day above it. The reason badges get rushed is almost never the print: it is that the attendee list is still moving.

Work back from the doors. Four and three day rush is the comfortable choice when registration closes about a week out, and it leaves a day of slack for a reprint if a name is wrong. Two day and one day rush is for a list that closes the week of the event. Same Day is the last resort for a walk-in surge or a batch of late VIP additions, where you print a short second run rather than reprinting the lot.

If the list is still changing, split the order: print the confirmed names now on the standard turnaround, and hold a small rush run for the stragglers. That costs less than rushing every badge and gets the bulk of them on site early.
