File Help, the Free Proof, and What the Proof Does Not Show

Every file goes through preflight before anything is scheduled. We check that bleed extends an eighth of an inch past the trim, that live text sits an eighth of an inch inside it, that images hold 300 dpi at the size they actually print, and that fonts came through as outlines rather than substitutions.

Then a free digital proof comes back to you. Look at it as a content and geometry check. Is the phone number current, is the logo the current version, is anything important close enough to the cut to lose a serif, does the bleed reach all four edges. Those are the things a proof answers, and catching them here is free.

Nobody enjoys hearing that limit. The digital proof cannot show you color. Your monitor emits light and paper reflects it, screens ship uncalibrated, and a rich brand blue on a backlit panel is a different thing from the same blue on coated stock. If the color has to match a brand standard, order free paper samples and judge the stock in daylight before you commit to a large run. It costs nothing and it settles the argument.

Turnaround, Shipping, and the Date You Actually Care About

Two clocks run on every order and people routinely add only one of them. Production time is counted from proof approval, and it covers press, drying, cutting and any finishing. Transit is counted separately and starts when the boxes leave our Queens, New York plant.

Ground from Queens reaches most of the East Coast in one to two days. The Midwest is roughly two to three. The West Coast is four to five. So a job that prints in two days and ships ground to Los Angeles is a week from approval, and there is no press speed that fixes the last part of that. Paying for rush production and then selecting the cheapest ground service is the single most common way a deadline gets missed.

Work backwards instead. Put the date you need boxes in hand at the bottom, subtract transit for your zip, subtract production for the product and finishing you chose, and whatever is left is your window to approve the proof. If the window has already closed, that is the moment to look at same day printing or to change the shipping method, not to hope. What is an online custom print center?

How long does an order really take from upload to delivery?

Is the free proof a color proof?

No, and treating it like one is the most common disappointment. The digital proof is a rendered image of your file after preflight. It proves the layout is right, that the bleed reaches past the trim, that nothing important sits in the cut zone, and that the fonts came through. It cannot prove color, because a monitor emits light and paper reflects it, and an uncalibrated screen shifts further still. If a brand color has to land exactly, order free paper samples first and judge the stock in daylight.

What file should I upload?

A print-ready PDF built at final trim size, with 1/8 inch of bleed on every edge, artwork kept 1/8 inch inside the trim, images at 300 dpi at the size they print, and fonts converted to outlines. The failure we catch most often is a logo pulled off a website: it looks sharp at two inches on screen at 72 dpi and prints soft at the same two inches on paper. Starting from a correctly sized layout in our blank template library removes most of those problems before they happen.

Can I order a size that is not on the list?

Yes for most flat printed products. Custom trim sizes are cut from the same parent sheets, so the limits are the sheet and the finishing equipment rather than a fixed menu. Custom sizes cost more per piece than a standard size, because a standard size is chosen to fit the press sheet with the least waste, and an odd size leaves paper on the floor. Ask for the price both ways before you commit to an unusual format.

What if the print comes back wrong?

Tell us with photographs while the boxes are still packed, and keep the shipping carton. A defect that traces to our press, cut or finishing gets reprinted. What does not qualify is content that was wrong in the approved file, since the proof stage is where typos, old phone numbers and stale addresses are meant to be caught. That is the whole reason the proof is free and the reason approval is a deliberate click rather than an automatic step.
