1. Estimate notepads: price the job while you are still in the room

A quote that gets written later gets written badly, or not at all. A printed estimate pad fixes that by putting the form in your hand on site. This is the piece that moves the money. Carbonless forms come as a 2-part set, white over canary, or a 3-part set, white over canary over pink. The customer signs once, keeps a colored copy, and your white top sheet goes in the folder. The invoice is issued at the job instead of on a Sunday night.

Ask for sequential numbering when you order. Once an invoice ages past its terms, the follow-up needs a different voice and a different medium. A monthly statement on company letterhead lists what is open, what it is for, and what the total is. It is not a fifth email. It is a document, and documents get put on a desk instead of into an archive folder.

Keep the aged balance and the due date in the top third of the page, where a person reads before deciding whether to keep reading. Put the invoice numbers from your carbonless forms in the left column so the two pieces reconcile against each other without a phone call.
