Promotional Branding That Holds Up on a Tote, a Magnet and a Keychain

Which branded items are worth the money, how far to cut your logo down for each one, and what the small runs cost at 4OVER4.COM.

Promotional branding is putting your mark on a useful object someone keeps, so the object advertises for you every time it gets used. Two decisions settle whether it works: which object you pick, because that sets how often the logo is seen, and how far you strip the artwork back, because a bumper sticker gives you 33 square inches while a shaped keychain gives you 1.38 by 1.97 inches. Everything below is about those two calls, with the real starting prices and stock options attached.

Quick answer

The object decides the exposure, the print area decides the artwork

Choose the item on how long it stays in daily use, then cut the logo down to what its print area can hold. A tote is carried in public for months, a fridge magnet outlives the job it was handed out for, and a keychain rides in a pocket for years. Against that, the print area collapses fast: 33 square inches on a 3 by 11 inch bumper sticker, about 7 on a business card magnet, roughly 2.7 on a shaped keychain. Plan a full artwork version and a stripped one, and drop the paragraph, then the tagline, then the gradient, then the second color as the space runs out.

Four promotional print areas drawn to scale, and what artwork survives each one A 3 by 11 inch bumper sticker, a 4 inch round coaster, a 2 by 3.5 inch business card magnet and a 1.38 by 1.97 inch keychain print area, all drawn at the same scale, with the artwork elements that have to be dropped as the area shrinks. Same logo, four print areas Drawn to scale at 18 pixels per inch, from 4OVER4 stock sizes 3" x 11" 4" circle 2" x 3.5" 1.38" x 1.97" Bumper sticker, 33 sq in. Mark, a full line of copy and a URL all still read from a car length back. Coaster, 12.6 sq in. Mark plus one short line. The dashed ring is where a wet glass sits. Card magnet, 7 sq in. Front only. Name, phone, one service line, because the back is the magnet. Keychain, 2.7 sq in. Mark alone, vector edges, nothing near the ring hole. No tagline survives. As the area shrinks, elements drop in this order: paragraph, then tagline, then gradient, then the second color. Sizes are live 4OVER4.COM stock options. Areas are width times height.

What Promotional Branding Actually Buys You

Cotton totes printed by 4OVER4 with a logo across the front panel

It buys repeat exposure to people who already know you exist. That is the honest version, and it changes what you should order. A branded object does not create demand the way a well targeted ad can, because nobody meets your brand for the first time through a keychain. What it does is keep you in front of someone who already has a reason to call you, for as long as the object stays useful.

Which means the useful life of the item is the whole game. A cotton tote starting at $5.00 gets carried through a supermarket every week for a year, in front of strangers, without you paying anything more. A cheap pen runs out of ink and goes in a drawer. Same logo, wildly different return, and the difference has nothing to do with the printing.

Name the limit before you spend: promotional branding is a retention and recall tool, not a lead generator. If you need calls this month, put the money into bumper stickers for a service fleet or a mailed postcard. If you need a customer to remember you in nine months when the thing breaks again, a business card magnet on their fridge is doing work that no ad budget reaches.

Choosing Items That Earn Their Cost

Compare items on where they live and how long they stay there, not on unit price. Here are five we print, with the starting price, the space you get to work with, and what belongs on each.

ItemStarts atPrint spaceWhere it livesWhat to put on it
Cotton totes$5.0012" x 14" and 14" x 16" bag sizesCarried in public, weekly, for monthsBig mark, one line of copy, nothing small
Business card magnets$19.68 per 252" x 3.5" up to 5" x 7", front onlyFridge, filing cabinet, toolboxName, phone, one service line, or a schedule
Drink coasters$10.98 per 103.5", 3.75" and 4" squares, plus a 4" circleBar tops and tables, seen at arm lengthMark plus one short line, or a QR code on the back
Bumper stickers$38.44 per 252" x 5" up to 2.75" x 15", custom to 11" x 17"Cars, laptops, toolboxes, outdoorsA line people would repeat, then the URL
Shaped keychains$53.55 per 251.38" x 1.97" print area, both sidesPocket and keyring, daily, for yearsThe mark alone, and a code or date on side two

Read the fourth column first, then the price. Coasters look cheap at $10.98 for ten, but ten coasters cover one table for one evening, so the real comparison is a set of 100 against a run of magnets. Keychains look expensive at $53.55, until you notice the per piece price falls toward $0.80 at the top of the 20 quantity tiers, and that the thing rides in a pocket for years.

One rule that saves money: pick two items, not six. A tote for the event table and a magnet for the follow up beats a scattered handful of one-off products, because you can afford a real quantity of each and the pieces reinforce the same mark. Browse what we carry in tote bag printing and magnet printing before you spread the budget thin.

Cutting the Artwork Down as the Print Area Shrinks

Custom shaped keychains printed by 4OVER4, cut to the outline of the artwork

Most disappointing promo orders are artwork problems, not printing problems. A logo lockup built for a website header carries a tagline, a registered mark and sometimes a gradient. Put that same file on a 1.38 by 1.97 inch keychain and every one of those details turns into noise.

Work out a drop order before you place the order. Paragraph goes first, then the tagline, then any gradient or drop shadow, then the second color. What is left at the smallest size is the mark and nothing else. On a keychain that is genuinely all that fits, and the proof is the moment to check it, since a free online proof runs before press on every order.

Three technical habits do the rest. Supply vector artwork, because a raster logo scaled into two square inches shows soft edges that a press cannot rescue. Keep type at headline weight, and treat anything smaller as decoration rather than something a person will read. Leave clearance at the edge and, on a keychain, around the ring hole, since trimming and drilling both have tolerance.

If the mark itself falls apart when you shrink it, the fix is upstream. Our logo design principles guide covers what makes a mark survive scaling, and you can lay artwork out at the real trim size on a press-ready file from the blank template library.

Materials and Placement That Decide the Result

Drink coasters printed by 4OVER4 on thick uncoated board with a colored edge

The substrate does more for a branded item than the ink does. Coasters print on UltraWhite uncoated cover board in 48pt and 64pt, and the uncoated surface is the point: it drinks the ring off a cold glass instead of letting the water skate across the table. Ask for a gloss coating on a coaster and you have made a beer mat that slides.

Magnets go the other way. Both indoor stocks, 17pt and 35pt, get a UV coating so the printed face takes handling on a fridge without scuffing in the first week. The 35pt is roughly twice as thick, lies flatter and feels like something worth keeping, while the 17pt keeps the cost down when you are handing out hundreds at a door. Neither one is exterior material, so a truck door needs car magnets, a comparison worked through in our bumper stickers versus car magnets guide.

Outdoor pieces need vinyl. Bumper stickers print on white permanent vinyl with a UV coating so they flex around a curved bumper and hold color through sun, rain and a car wash, and the optional 3/8 inch radius rounded corners are worth taking because square corners are where peeling starts. The same logic runs through the rest of sticker printing: outdoor life means vinyl, indoor life can be paper.

Fabric is the one where the choice happens before printing. Cotton and canvas take ink differently and wear differently, and a thin bag that sags after two grocery runs stops being carried, which ends the exposure you paid for. The tradeoffs are laid out in cotton vs canvas vs recycled totes, and if you are still choosing what to brand at all, our branded merchandise ideas guide covers the wider field.

Wally explains promotional branding

Pick the object first, then shrink the logo to fit it

Wally, the 4OVER4 mascot with a 4, shrinking a logo from a tote bag down to a keychain and dropping the tagline on the way

Wally starts with the object, not the artwork. A tote gets carried through a supermarket every week, a fridge magnet outlives the invoice it came with, and a keychain rides in a pocket for years. Then he shrinks the logo to fit whatever space that object gives him: the whole lockup on the tote panel, name and phone on the magnet, and just the mark on the keychain, where the print area is 1.38 by 1.97 inches. The paragraph goes first, then the tagline, then the gradient, then the second color.

Common Questions

Your promotional branding questions, answered

What is promotional branding?

Promotional branding is putting your mark on a useful object that someone keeps, so the object carries the advertising instead of a paid placement. The value comes from repeat exposure over months rather than a single view. Two decisions control the result: which object you choose, because that sets how often it is seen, and how far you cut the artwork down, because a keychain gives you a 1.38 by 1.97 inch print area while a bumper sticker gives you 33 square inches.

How many promotional items should I order the first time?

Order the smallest set, hold it, then scale. At 4OVER4.COM drink coasters start at $10.98 for a set of 10, business card magnets at $19.68 for 25, and shaped keychains at $53.55 for 25. A first run at that size tells you whether the type reads at the finished size and whether the color matches what you approved on screen. Per piece pricing keeps falling as the count climbs, so the second order is where the savings live.

What file should I send for a small print area?

A vector based PDF. On a keychain the artwork prints inside about two square inches, and a raster logo scaled down to that size shows soft, furry edges where a vector stays crisp. JPG and PNG are accepted, but they only hold up if the original is large and the mark is simple. Convert fonts to outlines before you export, and keep anything you actually want read at headline weight.

Can I print the back of a business card magnet?

No. The front prints full color or black, written as 4/0 or 1/0, and the back is the magnetic face, so it stays blank. Everything the customer needs has to fit on the front: the business name, one phone number, and a short service line. That constraint is why magnets work better as a reference item, a schedule or an emergency number, than as a place to tell a story.

Will an indoor magnet work on a truck door?

No, and it is the most common mistake with magnets. The 17pt and 35pt indoor magnet stocks are made for steel surfaces indoors, like fridges, filing cabinets and toolboxes. Vehicle signage needs the heavier exterior material, which is a different product. If the plan is a work van, order car magnets instead and keep the indoor stock for handouts.

Do I need full color on every promotional item?

No, and one color often prints better at small sizes. Bumper stickers offer 4/0 full color for a photo or a brand palette, and 1/0 black on white vinyl for a single bold line. On a keychain or a small magnet, a solid single color mark holds its edges where a gradient turns muddy. Save full color for the pieces with room, which usually means totes, coasters and stickers.

How far ahead of an event should I order branded items?

Standard production is 5 business days for keychains, magnets and bumper stickers, and 4 business days for coasters. Rush tiers run down to Same Day, with Same Day orders needing approval by noon Eastern. Rush covers production only, so add transit time on top when you are counting back from a trade show date. For a first order, add a few more days so there is room to fix artwork after you see a proof.
