## Give Every Guest Letter the Same Polished Look

The welcome letter on arrival, the manager's note, the writing paper in the desk drawer, the memo the concierge slips under a door: this is the paper your property speaks on. When the whole property writes on the same sheet, the service reads as considered before a guest reads a word, and the sheet fits every printer, folder and envelope a hotel already owns.

A set of 50 covers one department for a few weeks, and ordering the year for every floor in one run brings the cost under a nickel a sheet. Every other letterhead is on [letterheads printing](https://www.4over4.com/letterheads-printing).

## What goes into a hotel stationery set

This product prints the letterhead: the welcome letter, the manager's note, the invoice cover and the writing paper, carrying the property name, address and contact block the rest of the set refers back to. A full set usually adds #10 envelopes that take the same sheet folded in thirds, from the [envelope printing](https://www.4over4.com/envelopes-printing) range, a notepad by the desk phone, and do not disturb hangers. They only look like a set if the logo, the type and the paper agree across all of them, so order the envelopes and pads against the approved letterhead file.

## Paper stocks hotels choose

- 70# Uncoated Text. The workhorse. It takes pen ink without feathering and suits in-room writing paper, folios and anything printed in volume.
- 24# Royal Laid Bright White. A laid texture with a crisp, cool white, for correspondence that has to look official without looking expensive.
- 24# Royal Laid Natural White. The same laid finish in a warmer white, for heritage buildings, country inns and boutique properties.
- 24# Royal Laid Gray. Quiet contrast, type on grey rather than white, for city properties with restrained branding.
- 28# Royal Linen Bright White. The heaviest of the five, with a linen weave you notice the moment you pick it up, for the general manager's letter and VIP correspondence.

For a group, one uncoated stock for everyday printing and one laid or linen sheet held back for management and VIP letters makes the upgrade mean something.

## Branding guidelines for guest stationery

Logo placement and clear space. Pick one position, usually top center or top left, and hold it across every piece. Give the mark clear space on all sides, and if the logo shrinks below the point where the tagline is legible, drop the tagline rather than the size.

Safe margins for the office printer. Desk printers cannot print right to the sheet edge, so keep the letterhead design out of the outer band and leave the middle of the sheet clear, so a printed letter never lands on your artwork.

Ink coverage on uncoated stock. Uncoated paper drinks ink. Large solid blocks dry slower and can mottle, and a photograph goes flat, so keep coverage light and let the paper be the background. Ink runs 1/0 or 1/1 in black, or 4/0 or 4/4 in full color.

One type system everywhere. Front desk, concierge and management sheets should share the same typefaces and sizes, changing only the department name and the signature block.

### What Finishing Can You Add

Fold the sheet in half, as a trifold or as a Z-fold for a welcome insert or a room-service card. Add a tear-off perforation when a guest returns a reply slip or a coupon, or a 1/4" or 5/16" three-hole punch so sheets drop into staff manuals and guest directories. Matching blank second sheets cover letters that run past one page, and bundling splits the run into stacks for each department. For a pressed finish, see the [Letterpress Stationery](https://www.4over4.com/product/letterpress-stationery), and for the plain office version, the [Letterheads](https://www.4over4.com/product/letterheads).

## Hotel Stationery: Frequently Asked Questions

### Can we get a size other than 8.5 by 11 inches?

No. Every sheet is letter size, which is what a #10 envelope, a guest folio and the office printers are built around.

### How do we reorder exactly what we printed last time?

Keep the print-ready PDF you approved and upload that same file, and note the paper and the finishing you chose, since those are the details that quietly change between runs.
